Core to the mission of the Compass Project is undergraduate student data. This data comes from a variety of sources – Admissions, the UCI Directory, the University Registrar, and others. The Compass team takes the utmost care in protecting this data, including partnering with data holders around campus, tightly controlling access to reports, and using existing University tools and processes whenever possible.
Please note that Compass reports include only data on undergraduate students.

What data fields are available in Compass reports?
Where does the data come from?
Most data comes from one of our primary data partner, the Office of Institutional Research. Their data comes from a variety of sources, including Admissions and the Registrar.
In some cases, the Compass team partners directly with data providers to supplement OIR-provided data. As of August 2017, these partners include:
- University Registrar
- Division of Undergraduate Education (via Office of the Vice Provost of Teaching & Learning IT)
- Campuswide Honors Program
- Academic Testing Center
We are always open to requests to include additional data in Compass reports. If you are a campus unit interested in supplementing Compass data with something you think others would find useful, please contact us to discuss the appropriateness and feasibility of your request.
How secure is this data?
All Compass data is stored in the secure OIT Data Warehouse, which is protected by modern information security practices and technologies. Compass reports are all created using the IBM Cognos 11 BI tool, which is maintained by the OIT Business Intelligence team.
Access to Compass reports is controlled via the centralized campus KSAMS system. All requests for access are sent to the Compass team. Requests are processed by either the descriptive analytics lead or the project lead using this process:
- Ensure that the potential new user is in an academic advising or counseling role
- Double check that the potential new user is not currently an undergraduate student
- Verify access to WebAdmin + Transcripts with the Registrar
- Submit request to KSAMS, which includes: name, role, and a justification for the request
- Validate information and approve request
Approved requests can take several hours to a day to take effect in Cognos.
The list of instructors in KSAMS is periodically updated using the bulk load process defined by OIT. These lists are provided to Compass upon request by the OIT Data Warehouse team, validated against the existing list of users, and then loaded in when needed. A history of these requests is maintained in ServiceNow, OIT's IT ticketing system.
